Photo audits & site tracker · user guide

The Field App guides crews through the exact photos each job needs, tracks progress across the whole team in real time, and files everything straight into our Google Drive. This guide covers both sides: how crews use it on site, and how admins set up projects and templates.

On site For crews

What a technician does at a job. No account, no password — just the link and a Site ID.

  1. Open your siteTap the link your dispatcher sent — it already has the site loaded. Or open the app and type the Site ID at the top.
  2. Enter your nameFirst name + last initial. This records who took each photo.
  3. Work down the listEvery required photo is shown with a title, a hint, and an example photo. Photos are grouped (e.g. Pre-Photos, Closeout, Post-Photos) — tap a group header to open or close it.
  4. Capture each itemUse the three buttons on every item:

Take the photo right now.

Gallery

Pick an existing photo from the phone or PC.

Attach a file

PDF, ZIP, any file up to 10 MB — e.g. signed paperwork.

Works offline

No signal? Photos queue and send automatically when you reconnect.

Tap the example photo to see the reference

Each item shows a small example thumbnail — tap it to see full-size what a good photo looks like. The green bar at the top fills as photos land: green = safely on Drive, amber = still queued to send.

Everyone sees the same progress

Progress is shared live. If one crew member shoots 8 of 20, the whole team sees “8 of 20” for that site from any device. Whoever is on site can finish the job — hand over the link and Site ID.

Open it in your real browser — or photos can vanish

If you open the link from inside a messaging app (WhatsApp, SMS), that mini-browser can wipe your un-sent photos when you close it. Open it in Safari or Chrome, then Add to Home Screen and always launch it from that icon. A red banner in the app warns you if you’re in the wrong place.

Keep a copy on your phone

Leave “Save a copy of each photo to my phone” switched on (top of the Upload queue) — every photo you take is also backed up to your phone. On iPhone, tap a photo’s ⤓ Save button to drop it straight into Photos.

Finishing a site

  1. Upload everything firstMake sure the Upload queue shows nothing pending — tap Upload all pending if needed.
  2. Submit the site as completeTap the green ✓ Submit site as complete button at the bottom. If anything is missing it won’t send — it lists what’s still needed and highlights those items in red. When everything’s done it marks the site complete and emails the office.

Setting up projects & templates For admins

How BM Masters builds the photo checklists crews follow, and assigns work. Admin tools are hidden behind a PIN.

  1. Unlock admin modeGo to the More tab → enter the admin PIN → Unlock. Two admin tools appear: the pencil on each photo item, and the ✎ Edit templates button.
  2. Open the template editorTap ✎ Edit templates. Pick an existing template to adjust, or + New to build one from scratch.
  3. Build the checklistAdd groups (e.g. Pre-Photos, Closeout) and name them. Add as many photos to each group as the job needs. Give each a title and an optional hint. Reorder with the ▲▼ arrows.
  4. Set example photosTap the thumbnail box on any item → upload/take a photo or paste a Google Drive / Dropbox link. This is the reference crews will see.
  5. SaveTap Save template. It’s live for every crew immediately.
Assign a site to a crew with a link

Give each crew a ready-made link and they open straight to their site:

Replace KILDAIRE-114 with the Site ID and Starlink with the template name. Send Team 1 one link, Team 2 another.

Good to know

  • Saving a template is instant and applies to everyone.
  • Editing hints and example photos is always safe.
  • Renaming a photo item resets its progress — the app counts photos by the item’s name. Rename deliberately.
  • Example photos from Google Drive load fastest. Dropbox works too, but sends the full-size image.

Where things live

  • Photos → Google Drive, in a folder per Site ID.
  • Progress & who-did-what → the tracker spreadsheet.
  • Checklists → the Templates you build in the editor.
  • Nothing is lost offline — it all syncs on reconnect.
Keep the admin PIN to admins

Anyone with the PIN can edit the photo checklists every crew follows. Share it only within the office, and change it if it gets out.
